How to Send Invoices from Tally Using Gmail – Step-by-Step Setup Guide

Sending invoices directly from Tally using Gmail helps you share bills quickly, professionally, and without any manual attachment work. Once Gmail and Tally are configured properly, you can email invoices in just a few clicks. Below is the complete step-by-step process for both Gmail and Tally (TallyPrime / Tally ERP 9).


? PART 1 – Gmail Settings (Must Be Done First)

You must generate an App Password in Gmail. Normal Gmail password will NOT work with Tally.

Step 1: Open Google Account Security

  1. Login to your Gmail in a browser.

  2. Click on your profile icon (top-right) → click “Manage your Google Account”.

  3. From the left menu, click on “Security”.

Step 2: Enable 2-Step Verification

  1. Under “Signing in to Google”, click “2-Step Verification”.

  2. Click Get Started and follow the process:

    • Verify your mobile number or device.

    • Complete the steps until 2-Step Verification is ON.

This is mandatory. Without 2-Step Verification, App Passwords option will not appear.

Step 3: Generate App Password for Tally

  1. After enabling 2-Step Verification, go back to Security page.

  2. Click on “App passwords”.

  3. Google may ask you to enter your password again.

  4. Under Select app, choose Mail.

  5. Under Select device, you can choose Windows Computer (or Other and type “Tally”).

  6. Click Generate.

Google will now show you a 16-character App Password (something like: abcd efgh ijkl mnop).

? Copy this App Password carefully.
? This is the password you will enter in Tally, not your normal Gmail password.


? PART 2 – Configure Email in TallyPrime

Follow these steps inside TallyPrime:

Step 1: Open Email Settings

  1. Open TallyPrime.

  2. Go to Gateway of Tally.

  3. Press F1 (Help) → select Settings → choose Email
    (In some versions: Alt + K (Company) → Email → Email Settings).

Step 2: Fill Basic Email Details

You will now see a screen for Email Configuration. Fill as below:

  • From: your Gmail ID
    yourname@gmail.com

  • Server Address: smtp.gmail.com

  • Port: 587

  • Use SSL / Secure Connection: Yes / STARTTLS

  • Authentication: Yes / Required

  • Username: your Gmail ID
    yourname@gmail.com

  • Password: Paste the 16-digit App Password generated from Gmail

Check if there are any additional fields (depending on version):

  • Use SSL: Yes

  • Requires SSL: Yes

  • Use TLS: Yes (if asked)

Press Ctrl + A to Accept and save the configuration.

Step 3: Test Email from TallyPrime

  1. Open any Sales Invoice.

  2. Press Alt + M (E-mail) or choose More → E-Mail.

  3. Enter a test email address (maybe your own other email).

  4. Send the invoice.

If the configuration is correct, Tally will send the invoice PDF through Gmail successfully.


? PART 3 – Configure Email in Tally ERP 9

If you are using Tally ERP 9, process is similar but menu names change slightly.

Step 1: Open Email Configuration

  1. Open Tally ERP 9.

  2. From Gateway of Tally, press F12: Configure.

  3. Select E-Mail.

Step 2: Enter Gmail SMTP Details

On the Email configuration screen, enter:

  • From: your Gmail ID
    yourname@gmail.com

  • Server Address: smtp.gmail.com

  • Use SSL: Yes

  • Port: 587 (sometimes shown as default)

  • User Name: your Gmail ID

  • Password: Gmail App Password (16-digit)

  • Require Authentication: Yes

Save the settings by pressing Ctrl + A.

Step 3: Send a Test Invoice

  1. Open a Sales Voucher (Invoice).

  2. Press Alt + M (E-Mail).

  3. Select Format (Invoice, etc.).

  4. Enter the Recipient’s Email ID.

  5. Press Enter and send.

If everything is correct, your customer will receive the invoice from your Gmail ID.


? PART 4 – Sending Invoice Step-by-Step (Daily Use)

Once setup is done, this is how you normally send invoices:

In TallyPrime

  1. Create / open a Sales Invoice.

  2. Confirm and Save the invoice.

  3. After saving, look for E-Mail option or press Alt + M.

  4. Select:

    • Party E-mail ID

    • Choose whether to attach PDF (usually default is Yes)

  5. Press Enter to send.

In Tally ERP 9

  1. Create a Sales Invoice.

  2. Save the voucher.

  3. Press Alt + M (E-Mail) from that invoice.

  4. Enter receiver’s email and confirm.

  5. Tally sends the invoice via Gmail.


? PART 5 – Common Problems and Quick Fixes

1. “Authentication Failed” or “Incorrect password”

  • Reason: You used normal Gmail password.

  • Fix: Use the 16-digit Gmail App Password only.

2. “Unable to connect to server / SMTP error”

  • Check:

    • Server: smtp.gmail.com

    • Port: 587

    • SSL or TLS: Enabled

3. Mail not going but no clear error

  • Make sure:

    • Internet is working on that system

    • System date & time are correct

    • Gmail account is active, not blocked

4. PDF not getting attached

  • Ensure the email option in Tally is set to Send as Attachment / PDF.

  • On E-Mail screen, check “Format” and “Include: Yes” for invoice.
