User Suspension vs Deletion in Google Workspace – What is the Difference?

When an employee leaves a company or temporarily stops working, administrators must decide whether to suspend or delete the user account in Google Workspace.

Many administrators mistakenly delete accounts immediately, which can lead to permanent data loss. Understanding the difference between suspension and deletion helps businesses manage user accounts safely.


What is User Suspension?

User suspension temporarily disables login access to a Google Workspace account while keeping all data intact.

When a user is suspended:

  • The user cannot log in

  • Emails remain stored

  • Google Drive files remain available

  • Calendar events stay intact

  • Admins can reactivate the account anytime

This option is ideal when:

  • Employees go on long leave

What Happens to Email During Suspension?

Emails sent to a suspended user account will still be delivered to the mailbox unless additional routing rules are configured.

How to Suspend a User

Follow these steps:

Step 1 – Open Admin Console

Login using an administrator account.


Step 2 – Open User Management

Click Suspend User.

The user account will immediately lose login access.
